1. Space and Setup
Bar Area: A clear, flat surface for setting up the bar is essential. This could be a dedicated bar counter or a table. Ideally, I need around 6-8 feet of space for the bar area, depending on the size of your event and the number of guests being served. The space should be near enough to guests for easy access but not in the way of other event activities.
Access to Electricity: If we’re using any electric-powered equipment, like blenders, drink dispensers, or refrigeration, I will need access to a standard electrical outlet. This is typically not needed for basic bartending, but it may be required for some events with custom drink stations or special equipment.
2. Supplies and Equipment
Glassware: If you don’t have glassware provided by a rental service, having the appropriate glassware available will save time. I’ll need basic glassware like wine glasses, cocktail glasses, beer mugs, and shot glasses. Please provide any specialty glasses if needed for your event (e.g., martini glasses, highball glasses).
Ice: I will need enough ice for the event. Typically, I’ll need about 1 lb. of ice per person for a 3-hour event, but this varies based on the event size and drink preferences. If ice isn’t provided, I can bring it myself for an additional fee.
Coolers or Refrigeration: If your event includes drinks that need to be kept cold (like wine, beer, or certain cocktails), access to a cooler or refrigeration for storage is required. If no refrigeration is available, I can bring coolers to ensure drinks stay at the proper temperature.
Serving Equipment: I bring all the necessary bartending tools (shakers, strainers, jiggers, stirrers, etc.)
3. Liquor and Beverage Requirements
Non-Alcoholic Options: I’m happy to serve non-alcoholic beverages as well, including mocktails, sodas, and water. Please ensure that sufficient non-alcoholic options are available if guests need them.
Mixers & Garnishes: I’ll need access to fresh mixers (juice, soda, tonic, etc.) and garnishes (lemons, limes, cherries, etc.), as well as basic syrups and bitters. If you have any special drink requests or specific mixer preferences, please inform me in advance.
4. Lighting and Ambiance
Lighting: While I don’t need specific lighting for the bar area, it’s important that the bar is well-lit for safety and visibility, especially when preparing drinks. Ambient lighting around the venue should be sufficient, but please avoid dimming the area around the bar too much, as it may hinder service.
Sound System: I don’t require a sound system, but if you’re planning to have music or announcements near the bar, please ensure the sound doesn’t overwhelm the bar area. I want to ensure a comfortable space for conversation and drink orders without competing with loud music or event speeches.
5. Safety and Compliance
Alcohol Licensing: Please ensure that the event venue has the appropriate liquor license if needed. In some cases, I may require confirmation of this. I can advise on the specifics if you’re unsure.
Trash Disposal: A designated area for disposing of bottles, cans, and trash is necessary. If your event doesn’t provide trash bins near the bar area, please let me know so I can arrange for waste disposal.
Age Verification: I’ll need a secure method for checking IDs at the bar if there’s a mix of ages at your event, to ensure compliance with legal drinking age requirements. If you have a guest list or wristbands for age verification, that works as well.
6. Parking and Access
Parking: If parking is not readily available near the event venue, please ensure that there’s a designated space for unloading bartending supplies and ice. I’ll need easy access to the venue to bring in all the necessary equipment.
Load-In/Load-Out Time: I typically require about 30 minutes to 1 hour before the event to set up the bar and get everything in place, and about 30 minutes to 1 hour after the event to clean up and pack out. Please let me know if you have any specific time restrictions for setup or breakdown.
