When hiring Valley Creek Productions for your event or project, we ensure that our services are fully tailored to meet your needs. Below are the key technical requirements and considerations for a seamless experience, whether we're capturing footage at a live event, creating a brand video, or documenting a personal celebration.
1. Venue Considerations:
Space for Equipment Setup: Depending on the size and complexity of the project, we may require sufficient space for camera setups, tripods, and other production equipment. For larger events, we may require access to multiple areas of the venue for varied shots.
Access to Key Areas: For the best coverage, access to the main event areas (e.g., stage, reception area, seating, etc.) is important. If the event includes multiple rooms or locations, we will need the ability to move freely between them to capture all relevant moments.
2. Lighting:
Ambient Lighting: We work with the lighting provided at the venue, but we recommend that lighting be soft and diffused to ensure that subjects are well-lit without harsh shadows. Good natural lighting or soft LED lighting is preferred.
Supplementary Lighting: For darker or more dramatic settings, we may need to bring in additional lighting (e.g., LED panels, portable softboxes). This is especially important for indoor events or low-light settings such as evening weddings or corporate dinners.
Control of Overhead Lights: For interviews or specific moments that require controlled lighting, we may request to adjust the overhead lighting or stage lighting to ensure a balanced exposure.
3. Sound:
Microphones: If your event includes speeches, interviews, or presentations, we recommend providing wireless lavalier microphones for clear audio capture. We can bring our own, but if you prefer to provide them, please ensure they are compatible with our audio equipment.
Audio Input for Presentations: If your event includes presentations or videos, we may need to connect to the venue’s audio system to ensure the sound is captured clearly in the video.
Sound Checks: A sound check before the event is ideal to ensure all microphones and audio systems are functioning properly. This is especially important for live events, corporate conferences, or interviews.
4. Staging:
Clear Staging Area: If filming a live performance, stage presentation, or interview, a clear space free of clutter allows us to position cameras and lights effectively. We may need to mount cameras on tripods or use handheld gimbals for dynamic movement.
Backdrop Considerations: A clean, neutral backdrop is ideal for interviews or speeches. If the event has a busy or distracting background, we can use additional lighting or filters to balance the visual composition.
Elevated Platforms or Stages: If the event includes a stage, we may need permission to set up cameras at various vantage points (such as the front, sides, or rear of the venue). Elevated platforms (e.g., risers or balconies) are often preferred for capturing wide-angle shots.
5. Internet and Power:
Power Outlets: Our equipment requires a consistent power source. We will need access to multiple power outlets, especially for longer events or when using supplementary lighting and audio equipment.
Stable Internet (if streaming): If your event requires live streaming, we will need reliable internet access with sufficient bandwidth for streaming in HD. A wired internet connection is preferred to avoid disruptions, but we can also work with a high-quality Wi-Fi network.
Backup Power: In case of a power outage or fluctuation, we recommend having a backup power supply (such as a generator) available, especially for outdoor or off-site events.
6. Outdoor Events:
Weather Contingencies: If the event is held outdoors, please have a backup plan in case of inclement weather. For example, tents or covered areas can help ensure equipment stays safe and dry. We may also bring weather-resistant gear for outdoor shoots.
Power Supply for Outdoor Events: For events held in outdoor spaces without direct access to power, we can provide portable power sources such as battery packs or generators.
Lighting for Nighttime or Dusk Events: If the event runs into the evening, additional lighting may be necessary for optimal video quality.
7. Editing and Post-Production:
File Delivery: After the event or project, we will provide final footage in a format that is easy for you to access. Typically, files are delivered via cloud services like Google Drive, Dropbox, or WeTransfer. We will discuss the best delivery method in advance based on your preferences.
Editing Requirements: If you have specific preferences for the editing process (e.g., color grading, music selection, or custom graphics), we recommend providing any relevant details at least two weeks prior to the event. We’ll ensure all edits align with your vision for the final product.
8. Special Equipment Requests:
Drone Shots: For aerial footage or large-scale event coverage, we can bring drone equipment. Please be aware that drone use requires approval from the venue and may be subject to weather conditions and local regulations.
Specialized Cameras or Lenses: If you have specific requirements for unique shots (e.g., slow-motion, time-lapse, or high-definition camera lenses), we can accommodate those requests with advance notice.
9. Event-Specific Considerations:
Multimedia Integration: If your event involves multimedia presentations, videos, or live performances, please provide a technical run-through beforehand to ensure compatibility with our systems.
Crowd Control for Filming: If filming a large crowd, please consider any necessary crowd control measures to ensure safe and unobtrusive filming. We work with event staff to avoid disruptions during key moments.
Scheduling: To ensure the best coverage of your event, we recommend a detailed schedule or timeline for when key moments (such as speeches, performances, or interviews) will occur. This helps us plan for setup, equipment placement, and capturing important shots.
